Who we are
Dental AI Tools (dentalaitools.com) is operated by alphaSource Consulting LLC, 30 N Gould St, Ste R, Sheridan, WY 82801 (“we”, “us”). Questions about this policy: privacy@dentalaitools.com.
What we collect
Newsletter signup
Your email address, the time you signed up, the version of the consent wording you saw, the page you signed up on, and any campaign tags in the link you followed (for example utm_source=linkedin). If you unsubscribe, we record when and how.
LinkedIn ad forms
If you request a resource (such as our buyer's checklist) through a LinkedIn Lead Gen form, LinkedIn shares the details you submit with us: usually your name, email, job title and company, plus which boxes you checked. We use them to send you what you asked for. If you checked the newsletter box, we add you to the newsletter directly and send you a welcome email; you can unsubscribe from any email. If you didn't check it, we don't add you. We don't share these details with vendors. LinkedIn's own handling of the form is covered by LinkedIn's privacy policy.
Tool suggestions
When you use the suggestion form: the tool's name, website, category and description, your name and, if you give it, your email. To limit spam, we store a one-way hash of your IP address, not the address itself.
Tool matcher quiz
Your quiz answers are used in your browser to build your shortlist; we don't store them unless you sign up. Our analytics record that the quiz was started and finished, how far you got and which categories you picked, but not your email or who you are.
Signing up is optional. If you do, we store your email, your answers and shortlist, which boxes you checked and the exact wording next to each, the version of that wording, the time, the page and any campaign tags in your link, the site you came from, and a one-way hash of your IP address (to limit spam). We email you a confirmation link through Resend. Nothing you checked takes effect until you click it. Once you confirm, the newsletter box adds you to the Dental AI Spotlight list, and the consulting box lets alphaSource Consulting, which publishes this site, email you about choosing or rolling out tools. We don't share quiz signups with vendors.
AI answers (Ask box and quiz notes)
When you use the Ask box, we first compare your question with our published FAQ; to do that, OpenAI turns the question into a numeric representation (an embedding). If it doesn't match an FAQ answer, we send your question, along with excerpts from our own rankings and reviews, to OpenAI to write the answer. We keep your question and the answer so we can check quality and improve our FAQ, after automatically removing anything that looks like an email address or phone number, and we keep a hash of your IP address that changes every day, only to limit abuse. We don't set cookies or link questions to you. Please don't include personal or patient information.
The tool matcher can show short AI-written notes on why each tool fits. To write them, your quiz answers (never your email) are sent to xAI (the maker of Grok) along with excerpts from our own reviews. We cache the notes by answer set so the same answers aren't sent twice, and we don't link them to you.
Score review requests
When a vendor uses the score review form: your name, work email, the tool, the criteria you flag, your explanation and any links you send. We automatically check whether your email's domain matches the tool's website domain and store the result, and we store a one-way hash of your IP address to limit spam. We don't email you automatically.
Sponsors
If your company sponsors a placement, we keep your contact name, email, company details, the placement you bought, and the logo, link and copy you send us. Payments are handled by Stripe on its own checkout page. We receive payment status from Stripe, never your full card number.
Sponsor placement counts
When a sponsored placement is shown or clicked, we record the placement, the event (view or click), the page and the time. This doesn't include your name, email, IP address or any cookie. We use it to report total views and clicks to sponsors.
Site analytics
We use Vercel Web Analytics to count visits. It doesn't use cookies or store anything on your device. It records the page, the referring site, and general information such as country, browser, operating system and device type. Vercel tells repeat requests apart within a day using a hash of the request that it discards after 24 hours, so we can't identify you or follow you across days or sites.
We also use PostHog (hosted in the United States) for product and web analytics, set up without cookies or local storage (information is held only in memory while the page is open, so each visit looks new). Session recording is off, and PostHog doesn't automatically capture clicks or anything you type. We record page views, the site you came from, and a few events we choose: for example that a signup or form was started, submitted or left unfinished (counted by step, never the contents), and which outside site a link pointed to when you click a vendor or sponsor link. PostHog is set to discard your IP address, so it isn't stored with these events or used to estimate your location, and events are kept for 30 days.
We also use Google Analytics 4 to measure traffic and a few key actions (newsletter signups, quiz completions, tool page views and clicks to vendor or sponsor sites). It sets first-party analytics cookies to tell visits apart. Advertising features, ad personalization and Google signals are turned off, and we don't send names, emails or anything you type. If your browser sends a Global Privacy Control or Do Not Track signal, Google Analytics isn't loaded. You can also use Google's opt-out browser add-on.
AI assistant and crawler visits
When an automated crawler (for example a search engine or AI crawler) requests a page, we log the crawler's name, the page and its user-agent string. When a visit arrives from an AI assistant's website (such as chatgpt.com or perplexity.ai), we count it with the source site, the page and the time. These counts don't include your IP address, a cookie or anything that identifies you.
Hosting logs
Like any website, our hosting provider (Vercel) processes technical data such as your IP address, browser type and the pages you request, to deliver the site, keep it secure and fix errors.
Cookies and tracking
We don't use advertising cookies, tracking pixels or session recording, and we don't collect anything you type into a form unless you submit it. Our analytics may note that a form was started or left unfinished, but never what was typed. Apart from the Google Analytics cookies described above (not set if your browser sends Global Privacy Control or Do Not Track), the only cookie we set is a sign-in cookie for our own staff on admin pages. We serve our fonts ourselves, so visiting the site doesn't contact Google Fonts.
Newsletter emails
We send the newsletter through Resend. Our email provider may record whether an email was delivered, opened or clicked. The email design loads a web font from Google when you open it.
How we use it
- To send the newsletter and any emails you ask for.
- To review tool suggestions and follow up if you left an email.
- To run sponsorships: deliver placements, send invoices and receipts, and report total views and clicks.
- To run, secure and improve the site.
Who we share it with
We don't sell your personal information, and we don't share it with the vendors we review. Service providers process it for us only to provide their services: Vercel (hosting and web analytics), Supabase (database and file storage), Resend (email), PostHog (product analytics) and Stripe (sponsor payments). We may disclose information if the law requires it, or to protect our rights or the safety of others. If the business is sold or merged, the information may transfer to the new owner under this policy.
How long we keep it
- Newsletter: until you unsubscribe or ask us to delete it. After you unsubscribe we keep your email on a do-not-email list so we don't contact you again.
- LinkedIn ad form leads: if you didn't check the newsletter box, deleted within 30 days. If you did, the newsletter rules above apply.
- Suggestions: as long as they're useful for our research. Ask and we'll delete your name and email from a suggestion.
- Sponsor records: as long as needed for the sponsorship and for tax and accounting rules.
- Placement counts: kept in aggregate for sponsor reporting.
- Quiz signups: kept as a record of what you asked for and when you confirmed it. Ask and we'll delete your email and answers; if you were added to the newsletter, we keep your address on our do-not-email list after you unsubscribe.
- Score review requests: as long as needed to review the request and keep a record of score decisions. Ask and we'll delete your name and email from a request.
- Analytics and crawler counts: used in aggregate; Vercel keeps its analytics under its own retention limits, and PostHog events are deleted after 30 days.
Your choices
- Unsubscribe from any newsletter with the one-click link at the bottom of every email.
- Ask us to access, correct or delete your information at privacy@dentalaitools.com. We'll respond within 30 days.
- We honor Global Privacy Control signals. Because we don't sell or share personal information for advertising, there's nothing to opt out of, but we'll treat a GPC signal as that request if this ever changes.
Security
We use encrypted connections (HTTPS), limit who can access our database, and use reputable providers. No system is perfectly secure, so please don't send us patient information or other sensitive data through our forms.
Children
The site is for dental professionals and isn't directed to children under 16. We don't knowingly collect their information.
Visitors outside the United States
We're based in the United States and process information here. If you're in the EU, UK or Canada, we rely on your consent to send the newsletter, and you can withdraw it at any time by unsubscribing.
Changes
If we change this policy, we'll post the new version here and update the effective date. If a change materially affects how we use information we already have, we'll tell subscribers by email first.
